Proper handling of company data is everyone’s responsibility. This guide explains how to classify and handle different types of information.

Data Classification Levels

  • Public: Information that can be shared externally (marketing materials, press releases)
  • Internal: Information for internal use only (company policies, internal announcements)
  • Confidential: Sensitive information restricted to specific teams (project financials, contracts)
  • Highly Confidential: Critical information with strict access control (strategic plans, legal documents)

Handling Guidelines

  • Store confidential documents in SharePoint with restricted permissions
  • Do not send sensitive information via unencrypted email
  • Use OneDrive’s Personal Vault for highly sensitive personal files
  • Lock your screen when stepping away from your computer (Windows Key + L)
  • Shred physical documents containing sensitive information
  • Report any data breaches or suspected leaks to IT immediately

Email Best Practices

  • Double-check recipients before sending emails with attachments
  • Use encryption for emails containing sensitive data
  • Add “CONFIDENTIAL” to the subject line for sensitive communications
  • Remove sensitive information from emails when forwarding or replying all
