Using Version History in OneDrive and SharePoint

Never Lose Work Again with Version History

Version History automatically saves previous versions of your files, allowing you to view, restore, or compare changes over time.

How to Use Version History

  1. Right-click the file in OneDrive or SharePoint
  2. Select Version History
  3. A panel opens showing all saved versions with timestamps and who made changes
  4. Click a version to view or restore it

When to Use Version History

  • You accidentally deleted important content
  • You want to revert to an earlier draft
  • You need to see what changes were made and by whom
  • You want to compare two versions of a document

Important Notes

  • Version history is automatically enabled for all files in OneDrive and SharePoint
  • Version history is retained for 30 days (longer for protected files)
  • Each time you save a file, a new version is created
  • You can delete specific versions to free up storage

Pro Tip: Use co-authoring instead of emailing attachments. Everyone edits the same document in real-time, and version history tracks all changes.
